A hardware store system, built on Odoo.

We build systems on Odoo for hardware stores and building-materials businesses in Kenya. Cement, steel, timber, paint and fittings across thousands of items, sold fast at the counter, on credit to contractors, and across branches, with the stock and the money agreeing at the end of the day.

01What the system covers

From the yard to the counter.

The counter

A fast till for a busy counter: barcode scanning, M-Pesa, cash and card, split payments, and an eTIMS receipt printed on the spot. Every sale hits the stock and the accounts at once.

Sales

Units that convert

Buy cement by the tonne and sell it by the bag, buy pipes in bundles and sell them in pieces. The system does the conversion, so stock, cost and margin stay right in every unit.

Stock

Credit customers

Contractors and fundis buy on account against a limit you set. Statements, ageing and a stop on accounts that have gone quiet, so credit is a decision and not a habit.

Credit

Branches and transfers

Each branch with its own stock, prices and tills, transfers tracked in transit, and head office seeing all of it on one screen.

Multi-branch

Buying and receiving

Purchases received against the order, supplier prices watched from one buy to the next, and bills landing on the branch the stock landed in.

Purchasing

Stocktakes and reports

Count sessions that several staff work at once, variances posted on approval, and reports on fast movers, dead stock and margin by category.

Control
02Who it is for, and why Odoo

Who we build it for.

Hardware stores, building-materials yards and construction-supplies wholesalers, usually running a till that does not know the stock, a credit book that lives in someone's drawer, and a margin nobody can state per item.

We build it on Odoo so the counter, the yard, the credit book and the accounts run on one platform and give one set of numbers. We recommend Odoo Enterprise, and there is an optional monthly support plan after go-live.

Scope it on a call
01

Single hardware shops

One counter, one store, with the same control over prices, credit and stock.

02

Multi-branch chains

Branches on one system with their own stock and prices, and head office over all of them.

03

Building-materials yards

Cement, steel, timber and aggregate, in bulk and in pieces, sold over the counter and on account.

04

Wholesalers

Serving smaller shops and contractors on credit, with statements that go out on time.

03Questions we get asked

Hardware on Odoo, answered.

Can it sell in bags, pieces and lengths?
Yes. Products are bought in one unit and sold in others, tonnes to bags, bundles to pieces, and the conversion is handled by the system so stock and costs stay correct.
Can it control credit customers?
Yes. Each account carries a limit, sales stop when the limit is reached unless a manager approves, and statements and ageing come out of the system rather than a book.
Does the counter take M-Pesa, and is it eTIMS compliant?
Yes to both. M-Pesa, cash and card at the till, split payments on one sale, and receipts and invoices fiscalised with KRA as they are raised.
Can staff sell below the set price?
No. Prices carry a floor. A discount below the floor needs a manager's approval with a name against it, and selling below cost is blocked for everyone.
Can it run several branches?
Yes. Every branch runs on the same system with its own stock, tills and prices, transfers are tracked in transit, and new branches are added on the same platform.
What about theft and stock loss?
Every movement is recorded against a person, counts are done in sessions with variances listed and approved, and the reports show where the numbers do not add up. The system does not stop theft; it makes it visible fast.
What happens after go-live?
We train the counter, the store and the office on their own screens, then support the system. There is an optional monthly support plan with a 24-hour weekday response. Without a plan, we still help when you call, and each request is quoted and billed on its own.
How do we start, and what does it cost?
It starts with a discovery call. After that you get a written scope and a fixed price for your branches, catalogue and counters.
