01What an implementation includes

Six pieces of work. Every project.

An Odoo implementation is not an installation. It is the work between "we bought Odoo" and "the whole company runs on it". This is what that work is, in the order it happens.

Discovery and scope

We map how the business actually runs before configuring anything: quotes to cash, purchase to pay, stock, people, reporting. Where it is manual, where it breaks, who signs off. The output is a written scope with the modules, integrations and custom work listed, and a fixed price for it.

Configuration

Company setup in KES with multi-currency where you trade in USD. Chart of accounts to Kenyan practice, 16% VAT, withholding tax and withholding VAT, fiscal positions, approval limits, warehouses and branches. Sales, purchasing, inventory, accounting, HR and manufacturing configured to the scope, not to the demo database.

Data migration

Customers, suppliers, products, price lists, opening balances and open invoices moved from QuickBooks, Sage, Tally, Excel or a legacy system. Cleaned, imported, and reconciled against your last trial balance before cut-over, so the first month-end in Odoo agrees with the last one outside it.

Integrations and custom modules

M-Pesa Daraja for Paybill, Till and STK push, reconciled to the invoice. KRA eTIMS for signed, compliant invoices from inside Odoo. Bank statement imports, WhatsApp notifications, and the modules your industry needs that Odoo does not have out of the box: cargo consolidation, bus parcels, property units, pharmacy expiry tracking.

Training

Role-based sessions for accounts, sales, stores, HR and management, in English or Kiswahili, on your data. Your setup is documented so the knowledge lives in the company, not with one consultant. The people who will run the system sign off on it before go-live.

Go-live and support

Cut-over on a date agreed in the proposal, with our team present for the first days of live transactions. Then a support SLA: a 24-hour response on weekdays, upgrades, and new modules as the business grows. The same people who built it answer the phone.

02What you get that a generic implementation does not

Four things we would put in a contract.

M-Pesa, KRA eTIMS and statutory payroll are configured in every project as a matter of course. Every partner in Kenya can say that. These are the parts that differ.

You own the system

The server is in your name, the database is yours, and every custom module is delivered as source code you keep. If you ever change partners, nothing needs rebuilding. Built once, owned forever.

Cargo consolidation, bus parcels, property units and payment plans, pharmacy expiry tracking, station management. A pharmacy chain gets an Odoo that already knows what a pharmacy is, not a blank system that learns on your budget.

Discovery ends in a written scope and one number. That number is the invoice. Change requests are priced before they are built, and licences and hosting are billed to you directly with no margin on them.

03The edition

We implement Odoo Enterprise.

Odoo's own accounting with bank feeds and the reports auditors expect, the mobile apps, Studio, official support and clean version upgrades. The licence is paid to Odoo directly at Odoo's published rates, and we add nothing to it. If you are on Odoo Community today, we support and extend it, and we move you to Enterprise when you are ready.

05Cost

How much does an Odoo implementation cost in Kenya?

Three things set the price: how many modules go live, how many people use them, and how much has to be built that Odoo does not do on its own. A trading company with sales, purchasing, stock and accounting is one end. A manufacturer with three branches, M-Pesa, payroll and a custom production module is the other.

We quote a fixed price after discovery, for a fixed scope, so the number in the proposal is the number on the invoice. Enterprise licences are paid to Odoo separately at Odoo's published rates; we add nothing to them. Hosting is a VPS in your name, billed to you by the provider.

Modules in scope

Each module is configuration, testing and training. Start with the ones that run the money and the stock; add HR, manufacturing or projects in a second phase.

Users and branches

More users means more roles to train and more approval paths to build. Branches add warehouses, inter-branch transfers and consolidated reporting.

Integrations and custom modules

Industry modules you need that we have not built yet, bank feeds, third-party APIs and data migration from a messy source are priced on their own lines. M-Pesa and eTIMS are standard, not line items.

What is not in our price

Odoo Enterprise licences and your hosting. Both are paid by you directly, so there is no margin on them and no lock-in to us.

How long does an Odoo implementation take?
It depends on the modules in scope, the state of your data and how many integrations are involved, so we put dates in the proposal rather than on a website. We phase go-live: the modules that run money and stock first, then HR, manufacturing or projects once the core is stable. You see a live system early instead of waiting for everything at once.
Do you implement Odoo Community or Odoo Enterprise?
We implement Odoo Enterprise. It is the better product for a business that will run its accounts, payroll and stock on Odoo for years, and we earn nothing on the licence, which is paid to Odoo directly. If you are already on Community, we support it and handle the move to Enterprise when you are ready.
Is KRA eTIMS integration included?
Yes, as standard, along with M-Pesa Daraja and statutory payroll. Invoices and credit notes are signed through KRA from inside Odoo with the control number on the document. We treat this as the floor of a Kenyan implementation, not a feature.
Which industries have you already built modules for?
Cargo and freight (consolidation from China, piece tracking to delivery), bus parcels, real estate and construction (units, payment plans, tenant billing), pharmacies and clinics (expiry, batch, dispensing), petrol stations, SACCOs, and hospitality. Where a module exists, your project starts from it rather than from a blank Odoo. Where it does not, we build it once and you keep the source.
Can you take over an Odoo implementation another company started?
Yes. We audit the existing setup, fix what is misconfigured, migrate what was never migrated, and put the system on a support SLA. Stalled or half-live Odoo projects are a regular part of our work.
Who owns the system after go-live?
You do. Odoo runs on a server in your name, with your data and your backups. The custom modules we build are delivered as source code you keep. If you ever change partners, nothing needs to be rebuilt. Built once, owned forever, is the whole point.
Do you work outside Nairobi?
Yes. We are based in Kileleshwa, Nairobi, and deliver projects across Kenya, including Mombasa, Kisumu, Nakuru and Eldoret, and in Uganda, Tanzania and Rwanda. Discovery and training happen on site where it matters; configuration and support are remote.
What support do you provide after go-live?
A support SLA with a 24-hour response on weekdays, from the same engineers who built your system. It covers fixes, questions, small changes, version upgrades and new modules as the business grows. Support is a contract, not a favour.
